Client experience
Modern where it helps you, traditional where it matters
Virtual should mean faster and easier to reach, not harder to get hold of. Here is exactly how an engagement runs, from the first call to your first closed month, and what we commit to in between.
What virtual actually means
Less admin for you, not less contact
The technology is there to remove the parts of accounting nobody enjoys. It is not there to put distance between you and the person doing your work.
A secure portal, not an inbox
Statements, returns and identity documents move through encrypted exchange. You upload once and it stays organised, rather than living in an email thread nobody can find in March.
Meetings that fit your day
Planning calls happen by video or telephone, scheduled around your work rather than a drive across town. If you would rather sit down in Atlanta, Austin, Houston, Los Angeles or Tampa, that door is open too.
Signed and filed without printing
Engagement letters, authorisations and returns are reviewed and signed electronically, then filed for you. Nothing waits on the post.
The client experience
Virtual, but never vague
A modern process does not mean a faceless one. Here is exactly what happens between the first call and your first month closed, so nothing about working with us is a surprise.
01
An introductory call
We talk about where your business is, what it needs, and whether LedgerWay is the right fit. Thirty minutes, no charge, no obligation to continue.
- Held by video or telephone, whichever you prefer
- A senior advisor, not a salesperson
- You will get a straight answer if we are not the right firm
02
A written scope and quote
Every engagement is quoted after the consultation, based on the services you actually need. You see the scope in writing before anything begins.
- Services listed line by line
- The cadence and deliverables you can expect
- Nothing starts until you have agreed to it
03
Onboarding and handover
We collect your records through a secure portal, connect to QuickBooks Online, and take the history off your hands. You upload once, not repeatedly.
- Secure document exchange, not email attachments
- Prior-year returns and books reviewed on the way in
- Anything we find in the history gets flagged to you
04
Meet the people doing the work
You are introduced to your named team by name and role, with direct contact details. These are the people who will pick up when you call in March.
- Introductions before the first close
- One point of contact who owns your relationship
- Escalation path published, not improvised
05
A rhythm you can rely on
Monthly close and reporting, quarterly planning, and access to your advisors between the meetings. The calendar is set at the start of the year.
- Monthly statements with a written summary
- Quarterly planning ahead of each estimate
- One business day replies, all year
The difference in practice
The same work, arranged so it actually reaches you
None of this is complicated. It is simply what most owners tell us they were missing at their last firm.

The typical arrangement
With LedgerWay
A different name on the email every time you call
The same named team, every single time
A reply somewhere in the next few weeks
A reply within one business day, two at the peak of tax season
Advice that arrives once the year is already closed
Planning throughout the year, while the outcome can still change
A bookkeeper, a preparer and an advisor who never speak
One team holding all of it, working from one set of numbers
You chase the update
We raise the issue and the opportunity when we see it
Our response commitment
One business day, or two during the peak of tax season. It covers your whole team, not only your main point of contact, and it is written here so you can hold us to it.

Certified at the Elite tier
Intuit Certified ProAdvisors, so your books are built by people who know the platform properly.
Platforms we implement and support
Working together
What people ask about the day to day
The practical questions about access, speed and whether distance makes any difference. It does not.
Do I get a dedicated person, or am I passed around every time I call?
You will work with the exact same named team every single time. You are introduced to them by name and role during onboarding, and they stay with your account rather than rotating between clients.
My current preparer takes weeks to reply. How fast do you respond?
We guarantee a response within one business day, or within two business days during the peak of tax season. That commitment covers your whole team, not just your main point of contact.
Can you work with my business remotely, or do I need to be near an office?
We support small businesses across the entire United States. Everything runs securely online, from onboarding through to signature, and we also have offices in Atlanta, Austin, Houston, Los Angeles and Tampa if you would rather sit down together.
Next step
Start with a conversation, not a contract
Thirty minutes to talk about where your business is, what it needs, and whether LedgerWay is the right fit. Every engagement is quoted after that call.
